Sunny — Terms of Use & Privacy Policy

Mission Hope (Thessalonika Family Services, Inc., DBA Mission Hope)

Effective date: September 5, 2026

1. About Sunny

Sunny is Mission Hope's program platform. Staff and volunteers use it to manage client records, food pantry check-ins, volunteer scheduling, and reporting. Members of the public can use it to apply for assistance or sign up to volunteer. This document explains the rules for using Sunny and how we handle the information you share with us.

2. Who this applies to

  • Staff and volunteers who have a Sunny account, sign in, and work with client or program information.
  • Applicants and members of the public who use Sunny's public pages — for example, to apply for assistance, sign up for a volunteer shift, or view a resource guide sent to them.

3. If you have a Sunny account (staff & volunteers)

  • Your account is for Mission Hope program purposes only. Don't share your login with anyone else, and don't use someone else's account.
  • You're responsible for activity under your account. Sign out on shared or public devices, and choose a password you don't reuse elsewhere.
  • What you can see and do in Sunny depends on your assigned role. If something looks like it's missing or wrong, contact your administrator rather than trying to work around it.
  • Client, applicant, and volunteer information you access through Sunny is confidential. Use it only to do your job at Mission Hope, don't share it outside of Mission Hope except as your role and Mission Hope's policies allow, and don't download or copy it for purposes unrelated to your work.
  • If you believe your account or someone else's has been used without authorization, tell an administrator right away.
  • We can suspend or end your account access, including when your staff or volunteer role with Mission Hope ends.

4. If you're applying for assistance or signing up to volunteer

  • Information you submit is used to determine eligibility for programs and to provide services, or to process a volunteer application.
  • Please provide accurate information. If your situation changes, you can let Mission Hope know so your record can be updated.
  • Submitting an application or signing up to volunteer doesn't guarantee approval or a spot in a program — Mission Hope's programs have their own eligibility rules and availability.
  • You can ask to see what information Mission Hope has on file about you, ask us to correct it, or withdraw your application at any time by contacting us (see Section 11).

5. Information we collect

  • Contact information — name, address, phone number, email.
  • Household and eligibility information — for people applying for assistance, this can include household composition, income, housing status, and similar information needed to determine eligibility for programs like the Food Pantry or housing assistance.
  • Documents and files you upload — for example, proof of income, identification, or photos submitted as part of an application.
  • Program participation history — food pantry check-ins, services received, case notes, and referrals to resources.
  • Communications — messages, resource guides, and notifications sent to you by email or text, and (for staff-facing case meetings only, and only with consent) meeting recordings and their transcripts. Case meetings held over the phone may also be recorded: California law requires everyone on the call to agree first, so both you and your caseworker are asked on the call itself to press 1 to agree before the call is joined, and nothing is recorded unless you both do.
  • Volunteer information — application details, shift sign-ups, hours logged, and any documents required for a volunteer role (for example, background check paperwork or training records).
  • Account and technical information — for staff/volunteer accounts, your username, contact info used for sign-in and password resets, and basic usage information.

6. How we use this information

  • To administer Mission Hope's programs: determine eligibility, provide services, and manage the relationship between Mission Hope and the people it serves.
  • To coordinate volunteers: scheduling, tracking hours, and required documentation.
  • For internal case management: notes, referrals, and follow-up between Mission Hope staff.
  • For required reporting: Mission Hope reports to funders and government agencies (including HUD and Riverside County) as part of receiving grant funding. This reporting is typically in aggregate or de-identified form unless a specific grant agreement or law requires otherwise.
  • To improve Mission Hope's programs and services.

7. How we share this information

We do not sell your information. We share it only in the following circumstances:

We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.

  • With Mission Hope staff and volunteers who need it to do their work, based on the access their role is granted in Sunny.
  • With service providers who process it on our behalf, under confidentiality obligations — for example, our database/hosting provider, our email delivery provider, and our text messaging provider. If you participate in a recorded case meeting (only ever with your consent), the recording may be processed by a third-party transcription service to help create a draft summary, which Mission Hope staff review before it's saved to your file.
  • With government agencies and funders, when required for grant reporting or by law.
  • With your consent — for example, when Mission Hope refers you to another agency or community resource and you agree to have your contact information shared with them.
  • When required by law, such as in response to a subpoena or court order, or as otherwise required for mandatory reporting obligations that apply to Mission Hope staff regardless of Sunny.

8. How we protect your information

Sunny is built with access controls so that staff and volunteers can only see the information their role requires — for example, a volunteer's access is more limited than a caseworker's. Data is stored and transmitted using encryption, and every table of client data is protected by row-level security rules enforced at the database level, not just by the screens you see.

9. How long we keep information

We keep information for as long as needed to provide services, meet grant and legal reporting requirements, and support Mission Hope's program administration, after which it is deleted or de-identified consistent with Mission Hope's records retention practices.

10. Text messages and opt-out

If you've opted in to receive text messages from Mission Hope through Sunny (for example, resource guide links or password reset codes), our separate SMS & Text Messaging Policy explains what you'll receive, how often, and how to opt out at any time.

11. Your choices and how to reach us

You can ask what information Mission Hope has on file about you, ask us to correct it, ask about how long we keep it, or withdraw an application, at any time by contacting:

Mission Hope (Thessalonika Family Services, Inc., DBA Mission Hope)
missionhopesunny@gmail.com

12. Household members, including minors

If your application includes information about other members of your household, including children, that information is submitted by you as the applicant/parent or guardian, and is used only for the purposes described in Section 6 (determining eligibility and providing services to your household).

13. No warranty

Sunny is provided for Mission Hope's program administration. It's provided "as is," without guarantees that it will always be error-free or uninterrupted. Nothing in these terms limits or replaces any legal reporting obligations (such as mandatory reporting requirements) that apply to Mission Hope staff independent of Sunny.

14. Changes to this policy

We may update this policy from time to time. The effective date at the top will reflect the most recent version.
